Deskfull CRM – Privacy Policy
Effective November 6, 2026 · Deskfull CRM and deskfull.riekapps.com, provided by RiekApps
Key Points
- Deskfull CRM keeps the hotel’s rooms, guests, bills, payments and staff records in a database on the hotel’s own computers.
- When cloud sync is on, those records are also copied to our cloud server so the hotel’s other computers, the owner app and cloud backup work. We use that copy only to provide these services to the hotel.
- Guest ID photos stay on the computer where they were taken. They are never synced or backed up to the cloud, and the desk blacks out the first 8 Aadhaar digits before saving.
- The hotel decides what guest data to collect and why. RiekApps handles that data only on the hotel’s behalf.
- The app has no analytics, advertising or tracking. The live demo runs in your browser and nothing you type into it is sent to us.
- To have data deleted, write to riekapps@gmail.com.
1. Data On The Hotel’s Computers
Deskfull CRM is a desktop app for Windows and Mac. Everything the desk enters is stored in a database on the hotel’s own computers. That includes rooms and rates, reservations and stays, guest names, phone numbers, addresses and ID details, passport and visa details for Form C, bills, payments, credit notes, the restaurant (KOT), cash counts, staff accounts and the audit trail of who did what.
Check-in, billing and the room board work without internet, so this data is available to the hotel even when the computer is offline.
2. Cloud Sync And Backup
When the hotel has cloud sync (included in maintenance), changes made at the desk are copied to our cloud server. That copy lets the hotel’s other computers stay in step, powers the owner app on the owner’s phone, brings in online bookings the hotel connects, and serves as the hotel’s cloud backup.
We use the cloud copy only to provide these services to the hotel and to give support when the hotel asks for it. We do not sell it, share it with advertisers or use it to contact the hotel’s guests.
3. Guest ID Photos
The desk can take a photo of a guest’s ID at check-in, with the webcam or from a file. Before an Aadhaar card is saved, staff black out its first 8 digits. Photos are stored only on the computer where they were taken and are never synced or backed up to the cloud. Only users the owner allows can open them, and they are deleted automatically after the period the hotel sets (365 days unless the hotel changes it).
4. Who Is Responsible For Guest Data
The hotel collects its guests’ data for its own purposes, such as check-in, billing, GST and Form C, and is responsible for it under India’s Digital Personal Data Protection Act, 2023. RiekApps processes that data only on the hotel’s behalf and on its instructions. Guests who want to see, correct or delete their data should contact the hotel; we will help the hotel answer.
5. The Website, Demo And Meetings
The live demo at deskfull.riekapps.com/demo runs the real app with a made-up hotel entirely in your browser. What you enter stays in the browser tab and is gone when you reload or close it.
When you book a meeting, we receive your name, hotel name, city, WhatsApp number and the day, time and place you chose. We use them only to arrange and hold the meeting and to follow up on it.
6. No Tracking Or Advertising
Deskfull CRM contains no analytics, crash-reporting, advertising or tracking code. The website does not use advertising cookies.
7. Retention And Deletion
Data on the hotel’s computers stays under the hotel’s control. We keep the cloud copy while the hotel uses cloud sync. When the hotel asks, we delete its cloud copy, except for records we must keep by law, such as our own GST invoices to the hotel. Meeting requests are deleted on request.
8. Security
Every user signs in with their own PIN, every user’s actions are recorded in the audit trail, and the owner decides what each role can do. Big discounts, removed charges and reversed payments need a manager’s approval.
9. Changes
Changes to this policy are published on this page with a new effective date.
